How Vagabond Wines uses connected EPOS technology to unify a unique wine-bar experience

At Vagabond Wines, technology is central to the customer experience. Since opening in Fulham in 2010, the brand has expanded its self-pour wine-bar concept to 11 UK sites, using wine machines and top-up cards to give guests more freedom to explore its range.

However, its previous retail-focused point-of-sale system was not designed for hospitality or for Vagabond’s specialist operating model. Product setup was time-consuming, teams had to enter the same information across multiple systems, and transactions from wine machines could not automatically connect with EPOS data.

Challenge:
Disconnected wine-machine and EPOS systems

The Challenge

Bringing specialist systems together

Vagabond needed an EPoS platform that could work alongside its proprietary wine-machine software and customer top-up cards. Without a direct connection between the systems, teams had to duplicate transaction data manually, creating extra work, inconsistencies and potential discrepancies.

The business also needed better reporting, simpler product creation, reliable handheld ordering and detailed stock control for more than 100 wines alongside its food offer. As a multi-site operator, it required a flexible system that could handle different venue needs without losing central oversight.

“Product creation was a problem. We had to feed four systems for the same product which made our operations very complicated and inconsistent.”

The Solution

A tailored, connected hospitality ecosystem

Tevalis delivered a multi-site EPOS ecosystem including touchscreen terminals, kitchen management screens, biometric fingerprint readers and TevX handheld ordering devices. A bespoke integration with Wines By The Glass connected Vagabond’s wine machines and card transactions with its wider EPOS and management systems.

The platform also integrates Dojo for payments, Clover Flex for mobile point of sale, Harri for workforce management and Mr Yum for QR-code order-and-pay.website.tevalis

The connected platform enables:

  • Wine-card top-ups and wine-machine transactions to be accounted for within EPoS.
  • A more consistent view of transactions across specialist and core operating systems.
  • QR-code ordering that sends completed sales automatically into Tevalis.
  • Handheld and mobile ordering to support staff on the floor.
  • Detailed stock control for wines, food and varying product measurements.
  • Easier management of discounts, split payments, voids and error corrections.
  • Auditable transaction journals that help management monitor activity and investigate discrepancies.website.tevalis

“Tevalis puts everything together. Every time a customer wants to top up a card, Tevalis would do the transaction as it integrates with the PDQs and the table system.”

The Result

Fewer manual processes and more time for guests

A single operational view

By connecting the wine-machine and EPoS environments, Vagabond removed a key source of duplicated work. Teams can account for card top-ups and related transactions more consistently, while management gains stronger visibility of system activity.

More control and fraud protection

The business can track operational actions such as payment splits, discounts, voids and corrections through detailed journals. This provides a clearer audit trail and supports fraud monitoring without making day-to-day processes harder for staff.

Better service and revenue opportunities

QR ordering and handheld devices reduce time spent manually taking orders, giving teams more opportunity to speak with customers, support their wine choices and focus on service.

Reliable technology for continued growth

Vagabond now has a more stable, flexible platform designed around its distinctive self-pour concept. The connected ecosystem supports consistent operations across its estate while allowing the business to adapt its technology as it grows.

“Tevalis is, for us, the brain of our operations. It unifies all our systems and transactions.”
